Job Title: Japanese Speaking Executive Secretary of Sales and Marketing division. 

 

We are seeking a highly skilled Executive Secretary who is fluent in Japanese to provide comprehensive administrative support to our top management of Sales and Marketing. This role requires exceptional organizational abilities, excellent communication skills in both Japanese and English, and the ability to handle sensitive information with discretion.

 

Location: BTS Sukhumvit Line 

Working condition: Monday – Friday 08.00-17.00, Saturday working following company calendar (average 1 Sat / month) that the company provided compensate long holidays (about 1 week) for signification holiday such as Mother Day, New Year, Songkran. 


 

Responsibilities:

 

  • Act as the primary point of contact and liaison between the Director of Sales and Marketing and internal/external stakeholders, clients, and partners.
  • Manage the Japanese director's calendar, schedule appointments, coordinate meetings, and arrange travel logistics, ensuring optimal use of time and resources.
  • Prepare and organize correspondence, reports, presentations, and other documents in both Japanese and English.
  • Translate documents, emails, and communications between Japanese and English, maintaining accuracy and clarity in translation.
  • Coordinate and support the planning and execution of sales and marketing events, conferences, and promotional activities.
  • Maintain confidential records, files, and databases, ensuring data integrity and compliance with privacy regulations.
  • Conduct research, gather data, and provide administrative support for sales and marketing projects and initiatives.
  • Assist in the preparation of sales proposals, contracts, and agreements, ensuring accuracy and adherence to company policies.
  • Handle incoming calls, inquiries, and correspondence, redirecting as necessary and ensuring timely responses.
  • Collaborate with other departments and teams to facilitate cross-functional communication and coordination of tasks.

 

Qualifications:

 

  • Bachelor’s degree in business administration, or related field preferred.
  • Proven experience as an Executive Secretary or similar role, with a focus on supporting senior executives.
  • Fluent in Japanese and English, with exceptional written and verbal communication skills in both languages.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Strong organizational skills, attention to detail, and ability to multitask and prioritize in a fast-paced environment.
  • Excellent interpersonal skills, professionalism, and ability to maintain confidentiality and discretion.
  • Knowledge of sales and marketing concepts, terminology, and processes is an advantage.
  • Ability to work independently, take initiative, and demonstrate proactive problem-solving skills.
  • Flexibility to adapt to changing priorities and deadlines, with a positive and can-do attitude.
  • Previous experience in a multinational company or in the automotive/manufacturing industry is a plus.
